1. Scope
This policy explains how we handle personal information about visitors, institutional representatives, people who contact us and newsletter subscribers.

2. Information we collect
Orders and eligibility. One-time checkout collects institutional and contact names, email, billing and shipping addresses, any telephone number supplied, order details and instructions. We may request supporting information or consult official directories, institutional websites and institutional contacts to verify eligibility and authority to order.
Customer accounts are unavailable. Returning customers re-enter their details, but we retain relevant order records.
Messages and service. Our contact form collects the contact information and message you provide. We also handle correspondence about receipt of shipments, invoices, returns, warranties and customer service. Please do not send student records, payment-card credentials or unnecessary medical details.
Subscriptions. BigCommerce collects voluntary newsletter subscriptions. Woodpecker manages newsletter delivery using your email address, any supplied name and relevant subscription information. We retain appropriate consent, delivery, bounce and unsubscribe records.
Technical information. BigCommerce and its infrastructure providers may process IP addresses, browser and device information, requested pages, session identifiers and server or security logs. Essential cookies and similar technologies support the cart, checkout, fraud prevention and security.
3. How we use information
We use information reasonably necessary to:
- Verify institutional eligibility and ordering authority;
- Review and fulfill orders, arrange delivery, confirm receipt and issue invoices;
- Reconcile payments and handle returns, warranties and customer service;
- Respond to enquiries and accessibility-assistance requests;
- Send newsletters you requested and honor subscription choices;
- Prevent fraud, maintain website security and keep necessary business and legal records.
We obtain consent where required. Newsletter consent is separate from ordering and does not authorize unrelated uses.
4. Newsletters and your choices
Newsletter enrollment is initiated by you and is never automatic or a condition of ordering.
Every newsletter includes an unsubscribe option. You may also email orders@vdgparts.com to unsubscribe. We honor requests without charge, without delay and no later than 10 business days. Necessary order, invoice and service messages may continue.
We retain limited unsubscribe information to prevent further marketing unless you subscribe again. We do not track newsletter opens or clicks on promotional links.
5. Cookies and advertising
We do not sell personal information or use it for targeted advertising. We have not installed separate analytics services, advertising pixels or custom tracking scripts.
Our limited collection practices do not change in response to browser “Do Not Track” signals. Necessary technical processing may continue. We do not enable advertising services to track your activity across unrelated websites through our store.
You may manage cookies through your browser. Blocking essential cookies can prevent checkout from working.
6. Service providers and payments
We disclose information as needed for the purposes above to:
- BigCommerce, for store hosting, checkout, contact-form and subscription collection, order records and technical operation;
- Woodpecker, for newsletter delivery and subscription administration;
- USPS and other necessary shipping-service providers, for shipment processing and delivery;
- Wise or PayPal, for payment requests, payment processing and transaction records; and
- Necessary email, recordkeeping and professional-service providers supporting our business.
No payment is taken at website checkout. After delivery is confirmed, payment is requested through Wise or PayPal. The payment provider collects payment credentials through its own systems under its own terms and privacy policy. We may receive the payer’s identity, payment status, transaction reference and related transaction information.
We use contractual terms and other reasonable measures to protect information processed on our behalf and limit its use to the relevant services. Payment and postal providers may also process information for their own legal and operational purposes.
We may make other disclosures required or permitted by applicable law, including lawful disclosures to address fraud or legal claims.
7. Processing outside Canada
VdGParts.com operates this website from Alberta, Canada. We handle information in Canada and use service providers outside Canada for the purposes described above. Their infrastructure and support operations may involve several countries.
You may obtain our policies and practices concerning these providers, including the countries involved and purposes of processing, by contacting our Privacy Contact at orders@vdgparts.com.
Information processed in another country may be subject to its laws and lawful access by its courts or authorities.
8. Retention, protection and requests
We retain information for as long as reasonably needed for the stated purposes, including applicable tax and accounting requirements, unresolved matters and consent or unsubscribe records. Information no longer reasonably required for business or legal purposes is securely destroyed or made non-identifying.
We use reasonable administrative, technical and physical safeguards appropriate to the information and restrict access to those who need it. No system is completely secure.
You may contact our Privacy Contact to request access, correction or deletion, withdraw consent, or raise a concern. We may take reasonable steps to verify your identity. Rights and exceptions depend on applicable law; necessary records may need to be retained, and withdrawal of information needed for an order or service may prevent us from completing it.
We respond within applicable legal time limits and explain any lawful refusal. You may also raise a privacy concern with the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada, as appropriate.
9. Children and changes
The website is intended for institutional purchasers and is not directed to children. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has supplied information so we can investigate and take appropriate action.
We post updates here with a revised effective date and provide appropriate notice of material changes. We obtain further consent where required by law.
