Terms and Conditions

1. Ordering from VdGParts.com
These Terms and our Shipping & Returns policy govern orders. By agreeing to them when submitting an order, you confirm that you are authorized to order for and bind the institution you represent. Our Privacy Policy explains how we handle personal information.
2. Eligible Educational Institutions
Only an Eligible Educational Institution may purchase for its own institutional use. This means a bona fide public or private K–12 school, school district, college, university or other educational institution whose recognized educational status is supported by:
- Establishment, chartering, licensing, authorization, approval or recognition by an appropriate federal, state, territorial, tribal or local education authority;
- Inclusion in an official government directory of educational institutions;
- Accreditation by an appropriately recognized educational accrediting body; or
- Other reliable documentation demonstrating genuine operation and recognized status as an educational institution.
Corporate registration, a business name or an educational description alone is insufficient. Private individuals and all other businesses or organizations are ineligible.
We may verify eligibility and ordering authority, request supporting information and reject orders we cannot verify. Ineligible purchasers may not submit orders. We may cancel an order placed by an ineligible purchaser and will provide written instructions for any product already sent and refund any payment received.
3. Checkout, destinations and assistance
Standard orders must be submitted through website checkout. We do not offer customer accounts. Each order is a separate transaction, and returning customers must re-enter their details.
Orders must ship to an eligible institutional address, not a residential address. The shipping state must appear in the State/Province dropdown when the order is submitted. Available states may change without notice; later changes do not alter an accepted order.
An otherwise eligible institution unable to use checkout because of a disability may email orders@vdgparts.com or call (833) 493-9955 for reasonable assistance or an alternative ordering method. General telephone ordering is not offered. Accommodation orders use the same eligibility checks, product price, acceptance process and shipping terms, based on destinations available when the request is submitted.
Purchase orders submitted outside checkout are not accepted as a separate ordering method. An internal purchase-order reference on a checkout order does not change its free-shipping eligibility.
4. Products and order acceptance
We sell replacement parts for laboratory equipment, including natural-rubber belts. Check the product description, specifications and equipment compatibility before ordering. Contact us if uncertain, and follow the supplied use and storage instructions.
Submitting an order is a request to purchase. An order is accepted only when orders@vdgparts.com sends an order-acknowledgement email containing the accepted order details. An on-screen confirmation or preliminary receipt message is not acceptance.
Before acceptance, we may reject or cancel a request because of eligibility, availability, inaccurate information, suspected fraud, pricing errors or inability to ship. If a price needs correction, we will obtain your agreement or reject the request. We will not substitute products or increase an accepted price without agreement.
We may cancel an unshipped order that cannot be fulfilled or shipped under our shipping offer. We will notify you and apply the payment adjustments described in Shipping & Returns.
5. Prices, taxes and payment
All prices are in U.S. dollars. The price shown when you submit the order applies, subject to the correction procedure above.
We do not currently collect U.S. state, local or territorial sales or use taxes. If our collection obligations change, applicable charges will be disclosed before acceptance. The institution is responsible for any use tax legally payable by it.
No payment is collected at checkout, and the website does not collect payment-card credentials. After delivery is confirmed, we send an invoice for payment through Wise or PayPal, due within 30 days of the invoice date (net 30). The payment provider handles payment under its own terms. We may suspend acceptance of additional orders while an invoice is overdue.
6. Shipping, returns and product guarantees
Our Shipping & Returns policy forms part of these Terms. It explains free, untracked economy shipping delivered by USPS, delivery problems and return procedures.
Ordinary returns: Requests must be submitted within 30 calendar days of the invoice date. Authorization, return instructions, postage responsibility and refund or unpaid-balance adjustments are described in Shipping & Returns.
Fresh Stock Guarantee — natural-rubber belts only: If a belt shows deterioration, cracking, loss of elasticity or another condition-related defect when first opened or initially installed, we will replace it at no cost, including shipping. Contact orders@vdgparts.com within 30 calendar days of the date of receipt to request replacement.
60-day limited warranty — all products: All products sold by VdGParts.com are warranted against defects in materials and workmanship for 60 calendar days from the date of receipt. An approved warranty claim will be resolved by replacement or refund at our discretion; unpaid amounts are adjusted as described in Shipping & Returns.
“Date of receipt” means the date your institution receives the affected product. Opening or installing it later does not restart a coverage period. Neither 30-day request period shortens the 60-day limited warranty. Full coverage, exclusions, claim procedures and remedies are set out in Shipping & Returns.
7. Warranty and Limitation of Liability
Our express guarantees and warranty do not replace any warranty or remedy required by applicable law. The remedies promised in our Shipping & Returns policy apply separately from the following damages limits.
To the extent permitted by law, our liability for economic loss caused by breach of an order is limited to the price paid or payable for the affected product. We are not liable for consequential economic loss from such a breach, including lost profits or interruption of operations.
Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited.
8. Website availability and use
The website may be unavailable during maintenance or technical interruptions. We may change, suspend or discontinue the website or its features. This does not affect obligations relating to accepted orders, payments, returns, warranties or personal information. For help with an existing order, email orders@vdgparts.com.
Do not disrupt the website or infringe intellectual-property rights.
9. Third-Party Trademarks
Third-party trademarks, service marks, trade names and logos belong to their respective owners. We use them for identification, compatibility or informational purposes. Their use does not imply affiliation, sponsorship or endorsement unless expressly stated.
10. Governing law and changes
VdGParts.com operates this website from Alberta, Canada.
These Terms and accepted orders are governed by Alberta law and applicable Canadian federal law, except where applicable law requires otherwise. The United Nations Convention on Contracts for the International Sale of Goods does not apply.
Updated Terms apply to future order submissions. The version agreed to when you submitted an accepted order continues to govern that order unless both parties agree otherwise.
